OurGym is a gym-management platform operated by EKC LLC (“OurGym,” “we,” “us,” or “our”). It includes the ourgym.app website, the OurGym web and mobile applications, and related email and SMS messaging. This Privacy Policy explains how we collect, use, and protect your information.

OurGym serves two audiences: gyms (the businesses that subscribe to OurGym) and their members. When your gym uses OurGym to manage your membership, your gym decides what information about you it collects; we process that information on the gym’s behalf to provide the service. For questions about how your gym uses your information, contact your gym directly.

Information We Collect

  • Account information: your name, email address, and mobile phone number when an account is created for you or by you.
  • Membership and activity data: your membership plan, class reservations, attendance and check-ins, workout results, and related records your gym keeps in OurGym.
  • Billing data: invoices, payments, and payment status. Card payments are processed by Stripe; we do not store full card numbers on our systems.
  • Messages and support: messages you exchange with the OurGym assistant or with our support team.
  • Usage data: how you interact with the service, such as sign-in events, device and browser information, and message delivery timestamps.

How We Use Your Information

  • To operate the service: memberships, billing, class scheduling, check-ins, and workout tracking.
  • To verify your identity when you sign in (one-time passcodes by SMS or email).
  • To send account notifications you have opted in to, such as class reminders, waitlist updates, and billing receipts.
  • To provide assistant features, answer support requests, and improve the service.

We do not sell your personal information.

SMS Messaging

If you opt in to text messages, OurGym sends automated account-notification and identity-verification (2FA) messages. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared with or sold to any third party. Full program details are on our SMS & Messaging page.

Data Sharing

We share information only with:

  • Service providers that process data on our behalf to run the platform — for example Stripe (payments), Twilio (SMS delivery), Amazon Web Services (hosting, storage, and email delivery), and AI model providers that power assistant features. Each is bound to use the data only to provide its service to us.
  • Your gym, which can see the membership, attendance, billing, and workout records it manages for you.
  • Legal authorities, if required by law or to protect our rights and users’ safety.

Data Retention

We retain your data for as long as your account is active or as needed to provide the service, meet legal and accounting obligations, and resolve disputes. You may request deletion of your account and personal data by contacting us; some records (for example payment records) may be retained where the law requires it.

Security

We protect your data with industry-standard measures, including encryption in transit, tenant isolation enforced at the database layer, and access controls that limit staff access to what their role requires.

Your Rights

You may access, correct, or request deletion of your personal information at any time by contacting us at support@ourgym.app. If your membership data is managed by your gym, we may route your request to the gym or handle it on their instruction.

Children

OurGym is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Gyms that enroll minors as members are responsible for obtaining any consent required from a parent or guardian.

Changes to This Policy

We may update this policy from time to time. We will notify you of material changes via email or an in-app notice, and update the effective date above.
